Question
How does it work? What happens when an incoming call is answered?
Answer
The incoming call is answered in your business name or as per your instructions, and then the attendant calls you and announces the call. Depending on whether you want to take the call or not, the attendant will then either put the call through or take a message for you. The message is then sent to you via either e-mail or sms. Calls can be sent to specific extensions in your business, any cell phone or even routed via the internet to a soft phone (T’s and C’s apply for the soft phone) it is completely your choice.

Is this service automated or does a live person handle calls?
Answer.
All calls received during business hours will be answered by an Office Companion operator in your business name or as per your instructions. After hours calls will be answered by an automated answering machine and messages will be sent to you the next day.
Question
Will any special software, hardware or training be required to make use of the Office Companion service?
Answer
There is no special equipment, software or training required for the pre-paid bundled Companion Packages. Just apply and join the Office Companion Family!
Question
Is it possible to upgrade at a later stage?
Answer
Yes, you can upgrade at any time. There is a admin fee required for upgrades and is dependant on the actual upgrade package chosen.
Question
Can I use your service if I do not have a telephone number? Can you provide me with a number?
Answer
Yes. You can divert calls from your mobile to our office. If you do not have any numbers to use and you require a new telephone number, we will supply you with one. We can supply either a normal land line number or a Smart Call (code 0861 XXX XXX) number which you can use as your primary contact number.

Is there a minimum period agreement that I have to sign to make use of the Companion Packages?
Answer.
Yes, there is an agreement that has to be accepted and signed by you but it is for a month to month contract that requires a months’ notice to terminate the service. This is however only applicable to the pre-paid Companion Packages, any customised product will require a longer commitment from you, depending on the solution offered.

Are there any monthly costs other than the Companion pre-paid costs, and what are they?
Answer.
The packages are designed to be Bundled, Pre-Paid services, so you will only have extra monthly costs if you exceed your monthly quota, putting you in control of your business expenses.

Are there any initial costs involved in setting up any of the pre-paid Companion services and are there any recurring costs thereafter?
Answer.
Yes, there is an initial once off set-up fee depending on your choices regarding new telephone lines and other add-on services supplied by us or any supported service provider which in turn could incur monthly costs. All costs will be explained and clearly laid out before any service is activated!

What are the costs of the calls forwarded to my cell phone or landline?
Answer
Once you have exceeded your pre-paid amount, all further calls forwarded from the Office Companion to your cell phone will be charged to you at normal cellular rates and all calls forwarded from the Office Companion to a landline will be charged to you at normal Telkom or Neotel rates.

Is the Fax to Email facility really free?
Answer
Yes, you get a free Fax to e-mail number and all incoming faxes are free. For e-mails sent to fax numbers, you only pay for the time it takes to send the e-mail to the fax line. The detailed costs can be requested from the Office Companion.
Question
How do I pay for items not included in my pre-paid bundle and items exceeding my pre-paid limit?
Answer
We send you a monthly itemised bill with all transactions as well as a report on your services used for the month. We either need a pre-paid deposit amount that can be topped up when it has been depleted or a debit order from your bank for the full outstanding amount at the end of each month.

How many users can I have on my profile?
Answer
Each package allows a specific number of pre-paid users. If you have other staff members that need to be on the system, adding them as users helps you maintain control over your account. There are costs associated with add-on users, ask a consultant for more information.
